An exciting opportunity has arisen in our Resilience Security & Risk team in London for an experienced team co-ordinator to provide robust and proactive support to all team members, including leaders.

This is a pivotal support role and will make a significant impact on how our teams operate and engage with our clients. The role will involve being the ‘go to’ person within the team, supporting colleagues in producing quality deliverables, and working with the leaders to ensure smooth operations and identify potential improvements.

The Team Coordinator will be focused on proactively identifying where support can best be provided to staff members across the team. This will be based on need and benefit, both of which will fluctuate dynamically rather than being driven by the nature of a task or role/team hierarchy. The Team Coordinator will be able to identify where their time can be best invested for maximum benefit, and will also be capable of identifying and acting on areas where the team can improve its overall performance.

This role may result in exposure to security sensitive or classified documentation. As such, it may be necessary for the candidate to achieve a security clearance (with costs covered by Arup). The candidate should therefore advise if there is any reason that they believe may be an obstacle to getting such clearance.

Additionally, you will make an impact in this role by…

Supporting the team in project administrative activities in line with client requirements, including both high-profile project work and routine administrative tasks, as well as supporting the promotion of projects via social media platforms in collaboration with the marketing team.

Producing quality documents in line with the Arup brand, proofreading content to ensure consistency and good style, editing and making suggestions for improvements to text and presentations, creating first draft PowerPoint presentations if required.

Working collaboratively with both project and business development/marketing teams in work winning activities – bids, PQQs and preparing supporting documentation such as CVs, project sheets, etc.

Carrying out general team administration duties including managing team holidays and absences, supporting new starters and their induction into Arup, assisting team leaders with diary management, and more

To achieve in this role, you are likely to…

Demonstrate solid experience in a similar role, ideally in a professional services, multi-disciplinary environment

Be an excellent communicator and be experienced in standard office administrative procedures with a strong knowledge of Microsoft packages (including solid PowerPoint skills and ideally SharePoint)

Have achieved a minimum of level 4 NVQ qualification or other secretarial or administrative qual…
