PURPOSE OF THE JOB:
To provide a comprehensive and effective administration service to Justice Department staff, including the co-ordination and tracking of all documentation for court. Provide administrative support to police colleagues and external agencies to contribute to the delivery of justice.
To input data onto the computer systems in order to index, trace and chase court files and documentation to ensure timescales are met and the smooth running of the Justice Department. Supply files and additional information to relevant Criminal Justice Agencies.
To examine and review all incoming requests for information and allocate the request for completion within the given timeframe.
To undertake initial Court file preparation for all first hearing files ensuring completion of MG10, provision of CCTV and copy exhibits.
To deal efficiently and professionally with telephone enquiries received in the Justice Department. Liaise with other agencies involved in Criminal Justice as required.
To use the relevant IT systems to research and provide information on outcomes of court hearings. Manage requests for previous convictions.
Actively support the relationships, systems and processes between the Justice Department, the districts and other Criminal Justice agencies taking a participative role in identifying improvements in working practices.
To maintain adequate supplies of stationery to ensure smooth running of the Justice Department. Maintain multi-function devices and escalate technical issues as required.
To undertake system resulting on completion of court cases, including weeding of physical files to central case file storage.
To cover appropriate administration tasks within the Justice Department.
The job description reflects the major tasks to be carried out by the post holder and identifies a level of responsibility at which the post holder will be required to work. CONDITIONS OF SERVICE:
The appointment will be subject to the conditions of service of the Police Support Staff Council.
The pro rata annual leave entitlement is 22 days (pro rata) with an additional 5 days after 5 years continuous service.
Good verbal and written communication skills, demonstrating an ability to relate to a broad spectrum of people.
Experience of working to deadlines and delivering results through effective planning and organisation of own workload, demonstrating the ability to prioritise, even under pressure.
Experience of team working demonstrated by a flexible attitude and an understanding of how own objectives fit into team objectives.
Excellent administrator with experience gained in busy office environment.
Demonstrates the ability to contribute to continuous improvement and development by proposing ideas for the work place and identifying their own development needs.
Demonstrate the ability to respond to change in the working environment by showing a willingness to adapt and be flexible in changing circumstances.
Computer literacy and keyboard skills with the ability to recognise and summarise information.
The ability to successfully complete training on the Police National Computer (PNC) and other relevant police systems.
Demonstrate a level of awareness of equality issues appropriate to this role.
Understanding of Police and Court procedures.
Knowledge and experience of Police IT systems.
