Junior Events Coordinator

We are seeking a Junior Events Coordinator to join JP Morgan’s Events team in London on an initial 6 months contract. You should have a keen and proven interest in Events with the ability to work independently and as part of a wider team.

The role is based within the EMEA Asset Management events team, as part of a team of professionals developing and executing events, cross-channel and cross-location, within EMEA.

The primary focus of the role is to provide full assistance to the UK events manager on the planning and delivery of the UK Guide to the Market (GTM) Roadshows. This includes speaker management, agency liaison, venue co-ordination and invitation development.

Additionally the role will involve working closely with the event managers to provide assistance on select conferences and events as well as some team admin support

Guide to the Markets Roadshow:

This is a quarterly roadshow which takes place every year throughout the UK, Dublin and Channel Islands. There are 22 core locations with an additional 19 locations in Q2 and Q4. The roadshow is a showcase of JP Morgan’s Guide to the Markets programme and a presentation from one of the company’s focus products.

Key Responsibilities & approximate time allocation:

GTM Roadshows (70%)

  • Scheduling – plan, implement and manage the schedules, alongside the UK events manager
  • Supplier management – main contact for our venue agency who provide contract, venue and invoice support
  • Responsible for ensuring all details are correctly sent to venues
  • Communicate final details and event briefings to the sales team
  • Arrange AV and delivery of final presentations
  • Manage invitation and registration emails, websites and attendee reporting
  • Liaise with speakers across the market insights and investment teams
  • Be confident and prepared to provide event updates and briefings in sales and marketing team meetings
  • Hostess booking and management where required
  • Budget management, invoice processing and reconciliation
  • Print and delivery of event materials and banners to venues
  • Delivery of events – onsite support required for London roadshows only

Event planning support (20%)

  • On the ground support for our European colleagues when hosting events in London – e.g. Italian client trips
  • Full delegate management
  • Onsite event assistance as required
  • Manage internal processes as directed
  • Senior management meeting/event support – e.g. helping suggest venues and activities for AMOC, OC and Advisory council when in London
  • Venue searching/booking hotels and private dining spaces
  • Understanding of the importance of risk, controls and conduct performance and keep abreast of changes to policy which impact event activity
  • Some travel may be required

Team Assistance (10%)

  • Provide administrative assistance to the EMEA events team
  • Knowledge leader on technology and commitment to finding efficiencies and promoting internal tools

Skills, Knowledge & Experience

  • Relevant experience ideally within a corporate environment or events agency
  • Extremely well organised and proven ability to manage a number of deadline orientated projects
  • Excellent accuracy and attention to detail
  • Analytical skills and ability to confidently manage spreadsheets and technology
  • Excellent communicator with the confidence to work and build effective relationships with all levels of stake holders
  • Highly motivated, flexible and enthusiastic with required determination to achieve results through initiative and common sense
  • A successful team player
  • Comfortable working and navigating a large, complex organisation with a willingness to embrace systems
  • Willingness to take feedback and grow their career within events management
