Job Description

Strathallan School in Forgandenny, Perthshire, is seeking to recruit an outgoing, enthusiastic International Admissions Officer to join our External Relations department. Working on a full-time basis i.e. 40 hours per week Monday to Friday 8.00am to 5.00pm with an hour’s unpaid lunch break each day, the successful candidate will support the Admissions Manager / Registrar to promote and increase the number of international pupils at Strathallan. This is a varied and busy role which requires outstanding levels of customer service and competent organisational skills with the utmost attention to detail.

Specific responsibilities of this post include:

Enquiries:

  • Provide a proactive, efficient and effective customer-focused service to all international enquirers and agents, ensuring a timely and appropriate response.
  • Build rapport with enquirers from the first point of contact, establishing why they think Strathallan may be the right school for the prospective pupil and learning as much as possible about the pupil’s strengths and interests in order to inform the later stages of the admissions process.
  • Ensure all documentation (print and electronic) is sent out at the appropriate time and monitor receipt of returned forms.
  • Filter relevant enquiries to the Admissions Manager/Registrar and Director of International Studies Programme.
  • Follow up relevant enquiries within the agreed timeframe under the direction of the Admissions Manager/Registrar, maintaining an excellent level of customer service at all times.
  • Maintain the admissions data systems relevant to international applicants, ensure its integrity including ensuring all data fields are correctly populated and data is regularly cleansed.
  • Ensure accurate and complete data is recorded for every international enquirer in iSAMS (admissions database).

Assessment and Visits:

  • Arrange interviews and administer assessments for international applicants.
  • Meet and greet prospective international parents and pupils.
  • Organise and co-ordinate robust pre-departure, arrival and welcome services with International Communications Officer.
  • Have working knowledge of visa requirements for prospects and work closely with International Communications Officer regarding visa applications.

Communications:

  • Ensure a robust customer service is in place to support international students before during and after their arrival at Strathallan.
  • Ensure all documentation (print and electronic) is sent out at the appropriate time and monitor receipt of returned forms.
  • Maintain relations with prospective international pupils and provide regular updates to parents and agents.
  • Work with Marketing to provide appropriate content to international parents and agents including case studies, social content, information packs and pupil updates.

Reporting:

  • Produce regular and comparative reports as required by the Admissions Manger/Registrar, DoER, Head and Bursar for use in forward planning for the School’s intake

Agents:

  • Maintain relations with agents ensuring regular communications, information flow and excellent customer service.
  • Administer agency contracts, seek references and ensure agent commissions, communications and visits are recorded on iSAMS.
  • Maintain agent database.
  • Provide content for agent communications.
  • Organize agent visits.

Other:

  • Provide support for UK recruitment activities as required.
  • Maintain effective working relationships with colleagues across the School and with any external organisations.
  • Liaise closely with staff who are going abroad on recruitment missions to ensure they have as much detailed information as possible, and to ensure coverage at key recruitment events.
  • Be willing to represent the School at international recruitment events if required.

COVID-19 considerations:
